Front Office Coordinator

Esperanza Academy seeks a warm, organized, and detail-oriented professional to serve as a key member of our school community. As the Front Office Coordinator, you will be the first point of contact for students, families, staff, and visitors while supporting student recruitment and enrollment, family communication, school operations, and administrative functions. This highly visible role helps ensure that families and community partners feel welcomed, informed, and connected throughout their experience with the school.

Responsibilities

  • Serve as the first point of contact for students, families, staff, and visitors, maintaining a welcoming and efficient front office; respond to inquiries, provide information about school programs and services, and support daily office operations and visitor management.

  • Support family engagement through communication and outreach related to attendance, tardiness, student payments, and other school matters.

  • Support student recruitment, admissions, and enrollment by assisting prospective families, managing application communications, collecting required documentation, and coordinating follow-up throughout the enrollment process under the direction of the School Principal’s Office.

  • Maintain accurate student records, including attendance, tardiness, enrollment updates, student payment records, and data entry in Jupiter and other school systems.

  • Assist with the collection and tracking of student payments and support family follow-up regarding outstanding balances at the direction of the School Principal and CFO.

  • Provide administrative support to the School Principal’s Office, including scheduling, document preparation, correspondence, filing, record maintenance, and data management.

  • Prepare, print, distribute, and maintain reports, communications, and school records while ensuring the confidentiality of student and family information.

  • Coordinate field trip logistics in support of faculty, including transportation arrangements and permission slip management.

  • Support the planning and execution of school events, including Admissions Open Houses, and attend a limited number of evening events throughout the year.

  • Follow school safety protocols and contribute to a positive, organized, and family-centered school environment.

  • Perform other duties as assigned in support of school operations and family engagement.

Qualifications and Requirements

  • High school diploma required; additional administrative training preferred.\

  • One (1) to three (3) years of experience in a front office, administrative, customer service, or family-facing role; experience in a school setting preferred.

  • Fluency in English and Spanish required

  • Strong alignment with Esperanza's mission and values, with a growth mindset, curiosity, humility, and a commitment to serving students and families.

  • Excellent interpersonal, customer service, and verbal and written communication skills.

  • Demonstrated ability to build positive relationships with students, families, staff, and community members from diverse backgrounds.

  • Strong organizational skills, attention to detail, and ability to manage multiple priorities in a fast-paced environment.

  • Ability to handle sensitive situations with professionalism, discretion, and a commitment to confidentiality.

  • Strong technology skills, including proficiency with Google Workspace and Microsoft Office; experience with student information systems and Canva preferred, and willingness to learn new platforms as needed.

  • Ability to work occasional evening hours to support school events throughout the year.

Compensation

Salary range: $55,000-$65,000 annually.
